User's Manual

In this section we discuss Tracklr, lightweight time tracker. We assume you would like to start using Tracklr for your business and you successfully logged in to the service.

Now you need to set a few things up before you can use Tracklr. You don't need to worry. Tracklr's setup will not take you a lot of time.

Context Menu

Navigation Menu

The simplest way to get around Tracklr is to use navigation at the top of the page. It provides you an easy way to change context of the application. Use it to select your company, a particular client, or a project that you want to work with.

Tip: You can also click on titles (COMPANIES/CLIENTS/PROJECTS) to expand collapsed lists when a link is available.

Context Menu

When you selected what you are going to work with from the application menu, context menu will provide you available actions. The menu changes as you navigate around. Menu items are split into smaller logical chunks separated by a separator. It contains following base of actions:

  • Members — link to see all company members and send out invitations to new members. Member pages are always the same in every context.
  • Clients/Projects/Tasks — provide list for a given context. Tasks list allows you to start/stop time tracker.
  • Report — provides reporting functionality for a given context.
  • Notes — provide notes for a given context.

Create and Manage a Company

'Create Company' button is accessible from the home page. If you are a business owner use that button to create a new company. If you only been invited to Tracklr and you do not run a business you can skip this section at all.

Only one company per profile is allowed. The create button will disappear when you create a company. You can still be a member of other companies at the same time, though.

Be careful when choosing abbreviation for your company. At the moment there is no way to change company's abbreviation at a later date.

Once your company is created you can see a list of your clients which will be empty initially.

You can be a member of many companies. You can create only one company per profile.

To create a client click on the 'create client' button.

After a client is created you can see list of your project which will be empty at the time as well. Click on 'create project' button to create a new project. Projects can be billable or not billable.

If you choose a project to be billable it means all tasks that you create for this project will be marked as billable by default. You may change this setting on per task basis.

If you choose a project to not be billable, it means all tasks you create for this project will be marked as not billable by default. You may change this setting on per task basis.

If you have sufficienf permissions you can grant access to other members of a company.

Invite Others and Set Permissions

A list of all company members is accessible from the context menu when you are viewing your company (a list of company's clients). Click on the 'Members' button to get to your company members page.

Company members page will allow you to set initials of all company members and also mark them as active, or inactive members of your company. By marking them as inactive you will make them inable to access your company.

'Invite Members' button is accessible from the context menu when you are viewing your company members page.

You can invite up to 19 company members. Tracklr is designed to be used by small and medium businesses and the limit is 20 members per company.

Use an email address of a company member for the invitation.

In case the invited member already is user of Tracklr You and the invited member are notified by an information message on your screen that the connection has been made.

In case the invited member was not an user of Tracklr at the time, an invitation email is send out inviting the member to start using Tracklr. Once the invited user starts using Tracklr a connection with your company is made automatically.

All members must have permissions assigned accordingly to their roles before they can start using Tracklr.

You can set all company managers by editing your company details. A company manager has full management rights for your company.

You can set all client managers by editing details of your clients. A client manager has full management right for a client and all projects of a client.

You can set all project members by editing details of your projects. A project member has full management right for a project.

Invite other company members. Assign their permissions accordingly.

Track Time

You can start time tracker by clicking on 'Start' button from a project or a task view.

When the timer is on you can stop, pause, stop and mark as done, or cancel currently running event. It is impossible to work on two tasks at the same time. Pause of an event will not allow you to start another event on a different task.

It is impossible to work on two different tasks at the same time.

When a task is marked as 'done' it is actually made inactive. Also whole projects or clients can be marked as inactive if you have sufficient management rights. To display or hide inactive items use the last button 'display/hide inactive' from the context menu. All inactive items will be striked through on a page.

Create Reports

You can create reports for your company, clients and projects. Depends of your rights you can see reports that can include all company members or just yours. You can also export a report to CSV (Coma Separated Values) format.

Add notes

Tracklr allows you to add notes as you go about any of your projects, clients or about your company. Notes are short text messages submited by you and other company members.

There are three types of notes. Notes for your company, clients and projects. Their look and feel is the same, but streams of messages are separated.

To add a note just type your message into the form and hit the 'Add a Note' button.

The context menu contains current number of your unread notes submitted by other company members.
